Luxury Garden Wedding Case Study
The wedding day at Equestria West (Day 2 of a 3 day wedding weekend) transformed the venue into a fully immersive garden experience, with florals woven throughout every touchpoint—from a custom floating garden trellis over the ceremony, fully blooming aisle to layered installations welcoming guests, anchoring lounges, elevating cocktail hour, and spilling into every corner of the space. The luxury florist led the creative vision, designing statement installations including ceiling gardens, sunken table arrangements, serpentine floral runs, and a completely reimagined reception stage turned garden oasis.

My Role
Led event production schedules, timeline management, and task execution for a 30-person floral team across ceremony, cocktail hour, and reception installations.
Oversaw multiple floral installation teams, serving as the on-site point of contact for the lead florist to support creative execution without interruption.
Collaborated closely with the planner on weather contingencies, layout shifts, and real-time decision making to maintain design intent and event flow.
Managed logistics for vendor deliveries, box trucks, and cargo vans running between the production facility and venue, including lodging and transportation for out-of-state florists.
Directed on-site operations from early-morning load-in through ceremony flips, reception installs, and late-night teardown while maintaining crew care and execution standards.
This wedding day required a 2:00 a.m. start, managing multiple sub-teams within a 30-person crew, and executing large-scale floral installations within extremely tight load-in, unload, and reload windows across box trucks and cargo vans. Persistent rain and shifting plans for cocktail hour added another layer of complexity, requiring constant coordination with the planner and real-time pivots while working alongside a high volume of vendors, deliveries, lifts, and ladders throughout the venue.
With all florals installed and fully struck the same day—including a post-ceremony aisle flip into the reception—the challenge was balancing speed, precision, crew care, and flawless execution without compromising the creative vision.

This wedding day required a highly strategic execution approach, balancing tight production timelines with large-scale floral installations while coordinating alongside numerous vendor teams in a shared space. By developing layered contingency plans, completing 75% of floral production off-site, and assigning dedicated teams to on-site builds like the ceremony installation and ceiling garden, we maintained pace and precision throughout the day.
Clear, detail-driven communication before and during the event—paired with hands-on leadership and crew support—kept the team focused, energized, and aligned, ensuring the creative vision was executed smoothly at scale.
Through detailed pre-production planning and layered contingency strategies, our team entered wedding day with clear execution plans for both off-site production and on-site installations. Serving as the primary point of contact for the lead florist allowed her to remain fully in the creative headspace, while logistics, timelines, and team operations were managed seamlessly—even amid early-morning rain delays and shifting conditions.
The result was a precisely executed wedding day where large-scale installations were completed just in time for photography, closely mirroring the original renderings and delivering a flawless, immersive garden experience.
