The Vision-to-Reality Package is for hosts who know what they love but aren’t quite sure how to execute it (or who to call to make it happen). You bring the inspiration; we transform it into a cohesive, elevated design that feels like you — but better.

From design development to décor sourcing to day-of styling, we manage every aesthetic detail with creativity and practicality in equal measure, ensuring your event looks intentional, polished, and completely aligned with your budget.

This is a chance for us to get to chat, you can ask questions and we can figure out what you’re wanting when it comes to your event. We can then discuss how we could best fit into that vision. 

What Comes Next?

Initial consultation call:

From point of booking you will receive:

  • Unlimited email support for questions from date of booking,

  • Up to 4 Meetings (video call or voice call, each call up to 1-hour in length),

  • Creation of mood board for event theme, colors  & design, 

  • Research & present vendors needed to bring vision to life, 

  • Coordinating vendors hired for decor needed, 

  • Creation + management of event checklist + decoration budget review, 

  • Communicate with vendors secured by client for design/decoration

6 months before event:

  • Access to your Google Folder Design documents, and tasks/to-do’s in HoneyBook, 

  • Creation of a full comprehensive day-of mood board, vendor contact list + set up list,

  • Communication with vendors secured by client,

  • Coordinate that all decorations needed are ordered, rented, and secured for arrival on event day or the week-of and brought by BG Events and Designs

4-6 weeks before event:

  • Final details will be communicated with vendors, 

  • Final confirmation + distribution of final day of timeline will be sent week of the event,

  • Final Venue walk through (*addition travel fees will apply if venue is outside 30 mile travel radius),

  • Confirm floor plans for all set-ups

Day-of event:

On-site with lead planner and 1 assistant planner, on-site to ensure design/decorations set up and photo ready 1-hour before guests arrive
(*Added/Removal of Coordinators will be at the discretion of BG Events and Designs),

  • Management of vendors + set ups

  • The BG Team will manage the very detailed set up, working with vendors to ensure logistics of their comings and goings are efficiently working together and working with everyone to make sure photo-ready 1 hour before guests arrive. 

  • Point persons for decoration vendors 

    • We are there to facilitate the vendors arrival, where and how they are to set up and to ensure rules/regulations of the venue are met appropriately with the setups.

  • Manage, oversee and/or handle decoration set up

    • Designs need to come to life, that’s why we are there. You can focus on making memories while we oversee other vendors setting up decorations and/or our team will handle setting tables with decorations you have brought in. 

    • We will oversee the vendor(s) and their teams as well as set up any decor that is rented from BG Events and Designs or brought in by you, the client. 

  • “OH SHIT” Emergency Kit

    • Our toolbox is full with your emergency needs that you wouldn’t think you may need at your event. We’ve encountered a lot throughout our events, so don’t be surprised by what you can find in our toolbox. 

  • If teardown is not added on, we leave after all decor is set and the venue is photo-ready (approx 60 mins before guests arrive). 

  • If teardown is added (additional fee of 10% of package price), we will discuss when our team will be on-site for set up and teardown.

Finding a Venue: Our team can assist in the venue shopping. We will reach out to potential venues and get additional details to make sure it's a good location to consider. You will then review options and decide which venues you would like to see in person before making your decision. This is not part of this package. Itemized per hour time + time to/at/from venue would be invoiced and sent for payment if venue shopping is needed.

Teardown, Floral Services, & Decoration Rentals are not included in the price of this package and are commonly added on to this package.
